  • Reception duties;
  • Document Control;
  • Perform a wide variety of general administrative duties as required by the daily operations of the division;
  • Produce and review miscellaneous correspondence, reports, specifications, spreadsheets, and other documents, including background documents as required;
  • Edit manager’s correspondence and reports;
  • Draft responses to inquiries;
  • Prepare monthly reports and presentations;
  • Receive, review and distribute incoming mail;
  • Receive and screen communications, including telephone calls and email messages; prioritize, channel, and facilitate communication from / to department heads and others;
  • Make travel arrangements, maintain appointments and calendars, arrangement meetings and conference calls;
  • Attend meetings as directed and take minutes; and,
  • Contact clients, inside and outside of the organization to gather and provide information.
  • Candidate must have a minimum of 3 years of experience performing the duties described;
  • Candidates with an Office Administration Diploma or equivalent education will be preferred;
  • Must be able to make recommendations governed by general corporate policy;
  • Must possess character traits of being accurate, meticulous, proactive, efficient, self-organizing, a team player;
  • Must be able to exercise independent judgement in planning, scheduling, and organizing work assignments;
  • Strong English speaking and writing skills are required;
  • Must be proficient in common software, particularly MS Office; and,
  • Experience and / or familiarity working in a consulting engineering environment an asset.
