Job Description

  • Answer and direct phone calls and CAPDA inquiries
  • Organize and schedule appointments, room bookings and classes in coordination with the training department
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Update and maintain CAPDA policies and procedures
  • Order office supplies, receive/send mail and other deliveries, maintain contact lists
  • Provide general support to CAPDA visitors, customers and employees
  • Act as the point of contact for internal and external CAPDA clients, ensure visitor policy adherence
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Assist with the promotion of CAPDA internally and externally
  • Assist with CAPDA course delivery and room rentals: act as on-site contact, arrange catering, liaise with interested customers, prepare rooms for customers, bill customers, liaise with accounting as required, and other administrative tasks related to the CAPDA facility and courses
  • Liaise with building maintenance and other contractors

Job Requirements

  • High-school diploma
  • Proven proficiency in Microsoft Office applications
  • Able to multitask and meet multiple or unexpected deadlines in a demanding and fast-paced environment
  • Self-starter with an ability to work independently
  • Demonstrate sound judgement regarding confidential and sensitive matters
  • Excellent communication, organizational and interpersonal skills
  • Previous administrative, educational, or aviation experience an asset
